SITUATION
Workfront Optimization:
The complex functionality/features of Adobe Workfront for the BrandComms team creates a cycle of low documentation of projects on Workfront, resulting in:
Lack of awareness regarding individual workloads and team capacity to external stakeholders
Difficulties negotiating with customers on start time/tradeoffs leaving a perception of an inefficient team

Obtained a baseline documentation rate of projects using official software data and stakeholder estimates to quantify user pain points while providing a foundation for an improvement of tracking projects.
Coded qualitative data of over 160 insights from 6 stakeholders into 7 themes to visualize user needs
ACTIONS

Facilitated an affinity mapping exercise for a 7-person team to define product requirements for a solution
Conducted and analyzed 6 survey responses and 6 open-ended interview responses to evaluate their user experiences of a project management software to identify pain points and user requirements
RESULTS
Summary
This project created potential solutions to the low documentation of projects on Workfront, correcting current suboptimal practices to a positive cycle of:
Greater adoption of Workfront by the Brand and Communication team
Clear awareness of where the team is (individual resource workload)
Clarity of team capacity to external stakeholders who send project requests with and without Workfront
Effective management of expectations with stakeholders on start time/tradeoffs which will result in greater efficiency and productivity across the team. ​
